Questions before you sign.
Pricing. Contracts. Ownership. Refunds. Switching agencies. What we will and won't do. Every question we get on sales calls is on this page, with the actual answer.
Getting started
7 questionsHow do I start working with Softscotch?
Send an email or WhatsApp message with three things: your website, what you're trying to grow, and where you currently feel stuck. That's enough for us to come prepared to the discovery call.
From there: discovery call → tailored work plan with quote → if you accept, kick-off within a week.
What happens on the discovery call?
30 minutes. We ask about your business model, current channels, conversion funnel, biggest blockers, and growth targets. You ask us anything that's still unclear. Including the things you can't ask publicly.
No deck. No pitch. The output is a clear "this is what we'd do, here's why, here's the cost."
What do I need to send before the first call?
Your website URL is the only required thing. Helpful (not required) additions:
- Current monthly revenue or pipeline
- Existing ad accounts or marketing tools you use
- Past 90 days of GA4 / Search Console / ad-platform data (screenshots fine)
- Anything you've tried that didn't work. Saves us from repeating it
How quickly can you kick off?
Typically 3–7 days from contract signing. That covers: access provisioning, audit of current setup, baseline data capture, and the first internal strategy session. Active execution starts week two.
Do you offer a free audit before signing?
Light directional audit. Yes, included in the discovery call. We'll point out 3–5 things we'd fix in the first 30 days.
Full forensic audits (SEO, ads, tracking, CRO) are a paid deliverable. They take real specialist time and we don't give them away.
Can I see sample work or case studies?
Yes. We share case studies relevant to your industry on the discovery call. Some are public, some are under NDA and shared verbally. We don't post fake screenshots or generic "+437% growth" graphs without context.
What does the first 30 days look like?
Week 1: access setup, audit, baseline tracking, account hygiene fixes.
Week 2: strategy doc finalized, creative brief, first campaigns or content drafts.
Week 3: launch / publish / activate. Things start running.
Week 4: first data review, optimization plan for month 2.
Pricing & plans
8 questionsHow does pricing work?
Flat monthly retainer. One number, agreed upfront, covering everything in the scope. No hourly billing, no per-channel surcharges, no mid-quarter price hikes.
Project work (audits, builds, sprints) is quoted as a one-off fixed fee.
What's included in the retainer?
Strategy, execution across the agreed channels, creative production within reasonable limits, tracking and reporting, weekly communication, and access to the full team. The exact line items are listed in your work plan before you sign. Nothing is "implied."
Are there hidden fees or surprise charges?
No. If something falls outside the scope (e.g. you suddenly want a full website rebuild on top of an SEO retainer), we quote it separately and you approve before any work starts. You will never receive a "miscellaneous" invoice from us.
Is ad spend included in the retainer?
No. Ad spend goes directly from your card to Meta, Google, TikTok etc. It never touches our accounts. This keeps ownership of audience data with you and removes any "agency markup" on media costs.
Do you have a minimum budget or retainer size?
We don't publish a number because it's misleading without context. For small scopes (one channel, light execution) we can propose a stripped-down plan. For larger scopes (multi-channel + creative + web) the retainer scales with the work required.
If we're not the right fit at your budget, we'll tell you honestly. And often point you toward a smaller agency or freelancer that is.
Do you offer one-off projects?
Yes. Common one-offs:
- Full SEO / ads / tracking / CRO audit
- Klaviyo setup and the 7 ecommerce email flows
- WhatsApp Business API setup + first broadcast
- Landing page sprint (3–5 pages)
- Shopify or WordPress migration
- GA4 + server-side GTM rebuild
Quoted as fixed fees with delivery timelines.
Can I scale up or scale down later?
Yes. Most clients start with a core scope and add layers (more channels, more content velocity, more creative) once early wins are visible. Scaling down is also fine. We re-scope and re-price.
Do you offer discounts for long-term commitments?
We prefer fair flat pricing over "annual lock-in discounts". Those usually exist to trap clients into staying past the point of value. If you want a long-term commitment for budget reasons, we'll work out a fair structure case-by-case.
Contracts & cancellation
5 questionsIs there a long-term contract?
No. Standard engagements are month-to-month with a 30-day notice period. The reason is simple: if our work is good, you stay. Lock-ins only protect agencies that are scared their clients will leave.
What's the cancellation process?
Email written notice. The next 30 days are a paid handover period. We finish in-flight work, document everything, transfer ownership of assets, and offboard cleanly. No drama, no held hostage.
Can I pause the engagement?
Yes. Short pauses (1–2 months) are common during seasonal lulls, product launches, or fundraising cycles. We agree the pause window upfront, freeze active campaigns safely, and resume on the agreed date without re-onboarding fees.
What happens to my work and accounts if I cancel?
Everything is yours and stays yours. Accounts are already in your name (we just have user-level access we remove on offboarding). Creative, documentation, strategy briefs, and dashboards. Fully handed over.
Do you offer trial periods?
We don't do "free trials" because they incentivize agencies to over-promise to win the trial and underdeliver after. Instead, the month-to-month structure is the trial: month one is enough to judge fit, and you can leave with 30 days' notice.
Payment & billing
5 questionsWhat currencies do you accept?
USD, GBP, EUR, AED, and INR. Your invoice currency is fixed at the start of the engagement and doesn't move with FX swings.
What payment methods are supported?
Bank transfer (wire / ACH / SEPA / IMPS / UPI), Wise, and credit/debit card. We do not currently support crypto.
When am I billed?
Monthly, in advance, on the 1st of each calendar month. The first invoice is pro-rated if you start mid-month. Payment terms: net 7 days.
Do you provide formal invoices for accounting?
Yes. Properly formatted PDF invoices with our entity details, your billing address, GST/VAT lines where applicable, and a unique invoice number for your bookkeeping. Annual statements are available on request.
How do GST, VAT, and taxes work?
For Indian clients: 18% GST is added to the invoice. For overseas clients: invoiced as export of services, generally zero-rated. Your local reverse-charge / VAT rules apply on your end. We can issue invoices that fit your local tax authority's format.
Services & scope
7 questionsWhat services does Softscotch offer?
SEO (technical, local, content, AI/GEO, programmatic), paid ads on every major platform, email & SMS (Klaviyo, ActiveCampaign, etc.), WhatsApp marketing (Business API, chatbots, broadcasts), cold email outreach, marketing automation (GoHighLevel, Make.com), CRM setup, web development (Shopify, WordPress, custom), landing pages & CRO, analytics & tracking (GA4, GTM, server-side), and ad creative production (static, motion, video, AI-generated).
Can I add or remove services mid-engagement?
Yes. Scope changes are normal. You might start with SEO + ads, then add email and WhatsApp once those are stable. We re-scope and re-price at any monthly checkpoint.
Do you specialize or do you do everything?
We have specialists in each channel, but the team works together rather than in silos. Ads, SEO, email, CRO and automation make more sense when they're planned in the same room. Stitching them together yourself after the fact rarely works as well as it sounds.
Can I hire you for just one service?
Yes. Single-channel retainers (SEO-only, ads-only, email-only) are common. Usually when you already have an in-house team handling the rest, or when you want to test fit before expanding scope.
What's NOT included in your services?
We don't do: PR/media buying outside paid channels, influencer talent management, ICO/crypto promotion, gambling/adult, MLM, anything illegal in the client's market. We also won't take on grey-hat SEO or shady cold email tactics that risk your reputation.
Can you handle international campaigns?
Yes. Multi-region SEO, multi-currency ads, multi-language content, hreflang setup, geo-targeted creative. We've run campaigns across US, UK, EU, UAE, India, and APAC simultaneously.
Do you take on competing clients in the same niche?
No direct competitors in the same geography. Exclusivity is geographic and audience-based. Not blanket. E.g. a Dubai dermatology clinic and a London dermatology clinic can both work with us; two Dubai dermatology clinics cannot.
SEO services
7 questionsWhat kinds of SEO do you do?
Technical SEO, on-page, content SEO, local SEO, ecommerce SEO (Shopify / Woo / Magento), B2B SaaS SEO, international/multi-language SEO, AI/GEO optimization, programmatic SEO at scale, SEO migrations, and penalty recovery.
Do you handle local SEO and Google Business Profile?
Yes, GBP optimization, geo-grid rank tracking, citation building, NAP consistency across directories, review management, local schema (LocalBusiness, Service, FAQ), and location-page templates for multi-location businesses.
How do you approach technical SEO?
Crawl audit (Screaming Frog + Sitebulb), Core Web Vitals (LCP/INP/CLS), indexation hygiene, log-file analysis where useful, structured data, internal-linking architecture, JavaScript rendering checks, hreflang, canonical strategy, and server response auditing. Fixes are prioritised by impact and shipped through your dev team or ours.
Do you build backlinks?
Yes. Digital PR, HARO/Qwoted journalist outreach, guest posts on legitimate publications, niche-edit relationships, citation building, and partnership-driven link earning.
We don't buy PBN links, do mass guest-posting on spammy sites, or run anything that risks a manual action.
Can you handle SEO migrations?
Yes. Platform migrations (Shopify ↔ WooCommerce, WordPress to headless, etc.), domain changes, subdomain-to-subfolder moves, HTTPS rollouts, and IA restructures. Full URL mapping, redirect rules, post-migration ranking monitoring, and rollback plan if needed.
Can you recover from a Google penalty or algorithm hit?
Yes. Core update drops, Helpful Content Update (HCU) hits, manual actions, link spam penalties, content-quality declines, and post-migration ranking losses. Most recoveries start showing 30–60 days after the underlying fix lands.
How does AI search affect SEO and what do you do about it?
AI Overviews and ChatGPT/Perplexity browsing are reshaping how queries are answered. Click-through rates on top-3 organic positions are dropping on certain query types. But brands cited inside AI answers are seeing referral traffic and trust signals grow.
Our approach: passage-level citability, entity coverage, structured data, llms.txt, and content formats AI systems quote well. See the AI/GEO category below for more.
Paid ads
7 questionsWhich ad platforms do you manage?
Google Ads (Search, Shopping, PMax, Demand Gen, Display, YouTube), Meta (Facebook + Instagram + WhatsApp + Threads), TikTok, LinkedIn, Microsoft Ads (Bing), Amazon Ads, Pinterest, Reddit, X (Twitter), Snapchat, and Quora. We pick the platforms that fit your audience. Running everywhere at once is rarely the right move.
Do you produce creative for ads?
Yes. Static images, motion graphics, UGC-style video edits, AI-generated variants, and advertorial landing pages. Volume is scoped in your plan (e.g. X creative concepts per month).
How do you handle iOS 14+ signal loss and privacy changes?
Server-side tracking (Meta CAPI, Google Enhanced Conversions, TikTok Events API), consent-mode v2, first-party data activation, modeled conversions, and post-purchase attribution surveys. We don't trust platform-reported attribution blindly. We triangulate.
Can you take over an existing ad account?
Yes. We audit your existing structure, learnings, audiences, and creative library first. Then optimise incrementally rather than nuking history. Past data and audience signal is asset, not noise.
Who controls and pays for ad spend?
You. Ad accounts stay in your name, your payment method is on file with each platform, and you can pause or reduce spend whenever. We have managed-user access. Never owner. So ownership cannot drift to us.
How do you optimize across multiple platforms?
One blended view of CAC, ROAS, and contribution margin. Not per-channel vanity reporting. Budget shifts weekly based on incremental performance. We're comfortable cutting spend on a "good-looking" channel that isn't actually driving incremental revenue.
Can you run international and multi-region campaigns?
Yes. Multi-currency, multi-language, geo-targeted creative, and region-specific landing pages. Common setups: US + UK + EU + AU, or GCC (UAE/KSA/Qatar) + India.
Email, SMS & WhatsApp marketing
7 questionsWhich platforms do you support?
Email: Klaviyo, ActiveCampaign, Mailchimp, AWeber, MailerLite, Constant Contact, Shopify Email, HubSpot, Salesforce Marketing Cloud, Sendgrid, Customer.io.
SMS: Klaviyo SMS, Attentive, Postscript, Twilio.
WhatsApp: WhatsApp Business API via Twilio, Wati, AiSensy, Interakt, 360Dialog.
What flows or sequences do you typically build?
For ecommerce: welcome, abandoned cart, abandoned checkout, browse abandonment, post-purchase, review request, win-back, VIP, replenishment, and seasonal campaigns.
For B2B/SaaS: trial onboarding, activation drips, expansion, renewal, churn save, and re-engagement.
How do you handle email deliverability?
SPF, DKIM and DMARC set up properly. Sender reputation warmed up before any volume. List hygiene, sunset policies, engagement-based sending. We monitor actual inbox placement through Mailgun, Google Postmaster Tools and Postmaster, not just whatever open rate your platform reports.
Do you manage list growth and segmentation?
Yes. Pop-ups, embedded forms, lead magnets, exit-intent capture, and back-in-stock subscribers on the growth side. RFM segmentation, behaviour-based segments, predictive scoring, and journey-stage segmentation on the activation side.
How does WhatsApp marketing actually work?
WhatsApp Business API (not the consumer app) lets you send templated broadcasts to opted-in contacts, run two-way conversations through a chatbot or human agent, and route incoming click-to-WhatsApp ads. Templates need Meta approval, and rate-limits apply by quality score.
It works best for cart recovery, order updates, support, and lead qualification. Not cold blasts.
Do you set up WhatsApp Business API from scratch?
Yes, Meta Business Manager verification, phone number assignment, BSP onboarding (Wati / AiSensy / Twilio etc.), template approvals, opt-in flow design, and integration with your CRM or Shopify. Typical setup time: 5–10 working days, gated mostly by Meta's verification queue.
How do you measure email, SMS, and WhatsApp performance?
Beyond opens/clicks: attributed revenue (flow vs campaign vs broadcast), placed-order rate, RPR (revenue per recipient), inbox-placement rate, deliverability score, unsubscribe rate trend, and net list growth.
Cold email & outreach
5 questionsHow do you handle cold email deliverability?
Multiple secondary domains (separate from your primary), 2–3 inboxes per domain, slow warm-up via Smartlead / Instantly, low daily volumes per inbox, SPF + DKIM + DMARC, and constant inbox-placement monitoring. We never burn your primary domain.
Where do the lead lists come from?
Apollo, Clay, ZoomInfo, LinkedIn Sales Navigator scrape, and custom-built lists from web scraping + AI enrichment. All emails are verified before send (Million Verifier / NeverBounce) to keep bounce rate under 2%.
How many domains and inboxes do you use?
Depends on volume. For a campaign targeting ~10,000 prospects/month, typically 5–8 secondary domains with 2–3 inboxes each, sending 20–30 mails per inbox per day. We scale infrastructure with target volume.
Is cold email legal?
For B2B in the US (CAN-SPAM), Australia (Spam Act 2003), and most APAC markets. Yes, with proper sender identification and one-click opt-out. In EU/UK under GDPR/PECR. Only with legitimate-interest basis, careful targeting, and easy opt-out. We won't run cold campaigns that violate the recipient region's rules.
What response rates should I expect?
Highly variable. Strong ICP fit + good offer + tight copy can hit 2–6% positive reply rate. Poor fit or generic copy hovers below 1%. We optimise on positive reply rate and meetings booked, not opens.
Automation & CRM
5 questionsWhat automation tools do you work with?
Make.com (Integromat), Zapier, n8n, GoHighLevel, Pipedream, and custom Python/Node scripts for anything beyond no-code. We use what fits the workflow. Not what we want to upsell.
Can you build custom workflows for my business?
Yes. Lead-routing logic, AI-personalised outreach, Shopify-to-Sheet syncs, automated blog publishing, invoice generation, review collection, appointment booking flows, churn-risk alerts, and more. If it has APIs, it can usually be automated.
Do you set up CRMs from scratch?
Yes, HubSpot, Pipedrive, GoHighLevel, Zoho, Salesforce, and Close. Includes pipeline design, lead-scoring, automation, integrations with ads/web/forms, and team training.
Can you integrate my existing tools?
Yes, Shopify, WordPress, Webflow, Stripe, Razorpay, Calendly, Cal.com, Notion, Airtable, Google Sheets, Slack, Discord, WhatsApp, Twilio, and most ad/email platforms. If it has an API or webhook, we can integrate it.
Do you build chatbots and AI voice agents?
Yes, WhatsApp chatbots, web-widget chatbots, and AI voice agents (Retell, Vapi, Bland) for inbound qualification, appointment booking, FAQ deflection, and outbound calls. We design conversation flows, fallback to humans, and CRM integration end-to-end.
AI, GEO & LLM search
5 questionsWhat is GEO and why does it matter?
GEO (Generative Engine Optimization) is the practice of optimising content so AI search engines, Google AI Overviews, ChatGPT, Perplexity, Bing Copilot. Cite your brand inside their answers. It matters because a growing share of search journeys end inside an AI answer, not a blue link.
How do I show up in ChatGPT or Perplexity answers?
Three factors: (1) crawlability for AI agents (robots.txt allow rules, llms.txt), (2) content that is structured for passage retrieval (clear answers up top, summary blocks, FAQs, tables), and (3) entity authority. Being mentioned across reputable sources Perplexity and ChatGPT trust (Reddit, Wikipedia, top news, niche publications).
Do you optimize for Google AI Overviews?
Yes. Passage-level optimisation, schema (FAQ, HowTo, Product, Article), heading structure that answers the query in the first paragraph, citation-friendly stats and quotes, and AI-readiness audits on flagship pages.
What is llms.txt and do I need one?
llms.txt is a proposed standard for telling AI systems which parts of your site are most worth indexing for LLM retrieval. It's not strictly required, but for content-heavy sites it helps surface the right pages to AI crawlers and reduce noise. We generate and maintain it as part of the AI/GEO scope.
Is AI replacing traditional SEO?
Not replacing. Reshaping. Traditional SEO still drives the foundational signals AI search depends on (crawlability, authority, content quality). What's changing is the surface where users see your content. We treat SEO and GEO as one practice, not two.
Web development
6 questionsDo you build websites or just market them?
We do both. Shopify stores, WordPress sites, custom landing pages, and conversion-focused funnels. Most of our retainers scope web and marketing together because a slow or broken site is one of the most common reasons marketing budgets get wasted.
Do you handle Shopify development?
Yes. New builds, theme customisation, app integrations, headless migrations (Shopify + Hydrogen / Next.js), multi-store/multi-currency setups, and post-purchase upsell flows.
Do you handle WordPress development?
Yes. Custom themes and child themes, ACF + Gutenberg setups, WooCommerce, LMS sites (LearnDash / Tutor LMS), membership sites, and full WP redesigns. Performance-focused: cache layers, image optimisation, Core Web Vitals tuning, and security hardening.
Can you migrate my existing site?
Yes, WooCommerce ↔ Shopify, Wix/Squarespace → WordPress, Magento → Shopify, custom CMS → modern stack. Full redirect mapping, SEO equity preservation, and post-launch monitoring.
Do you maintain sites after launch?
Yes. Security patches, plugin/theme updates, uptime monitoring, daily backups, hotfixes, and small feature additions. Included in retainers; available as a standalone care plan otherwise.
Do you handle hosting and DNS?
We help you choose and configure hosting (Cloudways, Kinsta, WP Engine, SiteGround, Vercel, Cloudflare Pages), DNS, SSL, CDN, and Cloudflare rules. But the hosting account stays in your name. We don't resell hosting.
CRO & landing pages
4 questionsDo you run CRO and A/B testing?
Yes. Heuristic audits, heatmap + session-recording analysis (Hotjar / Microsoft Clarity), funnel breakdowns, hypothesis-driven A/B tests via VWO / Convert / Optimizely / GA4 experiments, and multivariate where traffic supports it.
What's your CRO methodology?
Research first. Quant (analytics, heatmaps) + qual (user testing, surveys, support tickets). Hypothesis-based experiments only. No "let's just try blue buttons." Statistical significance enforced (90–95% confidence) before declaring winners.
Do I need a minimum traffic volume to start CRO?
For statistically valid A/B tests. Typically 1,000+ conversions per variant per month. Below that, we focus on heuristic CRO, page-level rebuilds, and qualitative research instead of split-tests with false positives.
Can you build dedicated landing pages?
Yes. Advertorial-style pages, product launch pages, lead-magnet pages, webinar registration, and category-specific PPC landing pages. Built on Shopify, WordPress, Webflow, Unbounce, Instapage, or coded directly. CRO and tracking baked in from day one.
Content & creative
5 questionsDo you write blog content?
Yes. Keyword-targeted blogs, pillar pages, comparison pages, alternatives pages, glossary terms, programmatic landing pages. Written by humans, polished with AI, never raw GPT dumps. Researched-first, not vibes-first.
Do you handle ad creative (static, motion, video)?
Yes. Static social ads (Figma / Photoshop), motion graphics (After Effects), UGC-style edits (CapCut / Premiere), product reels, and AI-generated variants for batch testing. We brief, design, edit, version, and ship. No separate "creative agency" needed.
Do you use AI to generate creative or content?
Yes. For first drafts, variant generation, image upscaling, video B-roll generation (Sora, Veo, Kling, Runway), and translation. Every output is reviewed and edited by a human before going live. We're transparent about where AI is used.
Can you produce multi-language content?
Yes, English (US/UK), Spanish, French, German, Arabic, Hindi, and others on request. AI-assisted translation with native-speaker review for high-stakes copy (landing pages, ads, legal). Pure machine translation is not used for client-facing work.
Do you do brand identity work?
Light brand work. Logo refinements, brand guidelines (colour, type, voice), social templates. For deep brand strategy (positioning, naming, full identity systems), we partner with specialist brand studios.
Analytics & tracking
6 questionsDo you set up GA4 and GTM?
Yes. Full GA4 + GTM implementation including event mapping, ecommerce schema, custom dimensions, audience builds, BigQuery export, and dashboards in Looker Studio. Migrations from Universal Analytics included.
Do you implement server-side tracking?
Yes. Server-side GTM (Stape, GCP), Meta CAPI, Google Enhanced Conversions, TikTok Events API, Pinterest Conversions API, and Snapchat CAPI. Critical for accurate attribution under iOS 14+ and Chrome's privacy changes.
How do you handle attribution?
Triangulate GA4 path data, platform-reported, server-side, and post-purchase surveys ("Where did you hear about us?"). Where MMM is viable, we layer in incrementality analysis. We never trust a single platform's reported numbers as truth.
Do you set up conversion tracking from scratch?
Yes. Pixel installation, event firing, dedupe with server-side, value parameter QA, and full conversion-path mapping across every platform you advertise on. Includes a tracking validation report so you can verify it works.
What dashboards do you provide?
Looker Studio (free, native to GA4/GSC/ads), Notion live dashboards for non-technical stakeholders, and Whatagraph / Funnel.io / AgencyAnalytics for blended cross-channel reporting. Tailored to your KPIs. Not a generic 14-tab template.
How do you actually measure ROI?
Net contribution margin, not gross ROAS. We factor in COGS, fulfilment, returns, payment fees, and ad spend to get to a true CAC and LTV/CAC ratio. We share this model in the work plan so we're measuring the same thing.
Reporting & communication
5 questionsHow often will I get reports?
Your choice. Daily, weekly, or monthly. Default setup: live dashboard accessible 24/7, weekly written or Loom update, monthly review call. Anything on fire is messaged immediately, not buried in next week's report.
What format are reports in?
Live dashboards (Looker Studio / Notion), weekly written summaries (Slack or email), Loom video walkthroughs for context-heavy weeks, and monthly slide decks for board / investor sharing.
How do we communicate day-to-day?
Slack, WhatsApp, or email. Your pick. We mirror your team's preferred channel. Most clients use a shared Slack channel for fast async, plus a weekly call. We don't insist on a "project management tool" you'll never log into.
Will I have a dedicated point of contact?
Yes. A single account lead is your day-to-day point. Channel specialists (ads, SEO, email, web) sit in the same chat for direct technical answers. No "I'll get back to you after asking my team" delays.
How fast do you respond to messages?
Email: within one working day. WhatsApp/Slack: usually within a few hours during working days. For incidents (broken pixel, paused account, deliverability drop, site down). Escalation within the hour, including outside normal hours when the impact warrants it.
Team & expertise
5 questionsWho actually does the work?
The Softscotch core team. Specialists with deep focus areas (SEO, paid ads, lifecycle, automation, design, web). You'll meet the people working on your account in week one. No "senior strategist on the call, junior intern on the execution" switch.
Do you outsource to freelancers or marketplaces?
No. Execution and strategy stay in-house. We don't pass credentials, data, or work to Fiverr, Upwork, or unvetted contractors. The only exception: specialist creative production (e.g. a particular video editing style) where we may bring in known vetted collaborators under NDA. Always disclosed.
Where is the team based?
India (primarily Bengaluru), with team members across multiple cities. Working hours overlap comfortably with EU / UK / GCC mornings and US East Coast evenings. Async-first by default. We don't need synchronous time to ship.
What's the team's expertise?
Years of combined experience across SEO, paid media, lifecycle, CRM, web dev, design, and AI/automation. Specific certifications where they matter (Google Ads, Meta Blueprint, HubSpot, Klaviyo Master Partner). But we hire for craft and judgment, not certificates.
How many people will work on my account?
Depends on scope. A single-channel retainer typically has a lead specialist + a support hand. A full-stack retainer can involve 4–6 people across strategy, ads, SEO, email, design, and dev. Coordinated by your account lead.
Process & methodology
5 questionsWhat's your overall process?
Audit → Strategy → Build → Launch → Measure → Iterate. Each cycle is 2–4 weeks depending on channel. Strategy is never one-and-done; it gets revisited monthly with real data.
How do you plan strategy?
Start from a single growth bottleneck (acquisition cost too high? retention too low? wrong audience?), then plan channels and tactics that move that one number. We don't run "doing all the things" plans where everything is mediocre.
How do you decide what to prioritise?
ICE-style scoring: Impact × Confidence × Ease. Combined with constraints (your bandwidth, our bandwidth, dependencies). The output is a weekly priority queue you can see and challenge. Nothing is hidden in a "strategy doc" that never gets opened.
Do you follow specific frameworks?
We use frameworks as tools, not religion: AARRR for funnel mapping, RICE for prioritisation, JTBD for customer insight, RFM for segmentation, and Bullseye for channel selection. Whichever helps the decision. Not whichever sounds smart on a pitch deck.
Can I influence strategy decisions?
Yes. You should. You know your customer, product, and market better than any external agency on day one. Our job is to bring channel + execution expertise to your intuition, not override it. We push back when we disagree, and we explain why.
Timelines & expectations
5 questionsHow quickly will I see results?
Channel-dependent. Paid ads: measurable within week one, optimised by week 4. Email/SMS/WhatsApp flows: revenue lift within 2–4 weeks of launch. SEO: 4–8 weeks for movement, 3–4 months for meaningful traffic lift. CRO: first test results in 2–4 weeks depending on traffic.
How long does SEO actually take?
Depends on competition, content velocity, and where your domain authority is starting from. Low-competition niches: 2–3 months. Competitive verticals like SaaS, finance, or ecommerce: 6–9 months before you see meaningful share. Top of page for high-volume head terms often takes 12+ months. Anyone promising faster on competitive terms is either lucky or lying.
How quickly do paid ads start working?
Week 1: launch + initial data. Weeks 2–4: optimisation cycle, audience signals stabilise. By month 2 the account is usually operating at its early steady-state, with creative testing layered on top.
What does month 1 look like vs month 6?
Month 1: foundation laid, quick wins shipped, first data.
Month 2–3: optimisation kicks in, momentum visible across the channels you started with.
Month 4–6: compounding effects (SEO + lifecycle + creative library + audience pixels), and scope often expands to additional channels.
Why do some campaigns take longer than others?
Variables that slow things down: low traffic / conversions (CRO + paid optimisation need volume), platform learning periods (Meta needs 50 conversions per ad set / week), creative production cycles, your team's review speed, and external factors like seasonality or platform updates.
Guarantees & refunds
4 questionsDo you guarantee results?
No agency that's honest will. Marketing outcomes depend on your product, pricing, fulfilment, market timing, and platform variance. None of which any agency fully controls. What we do commit to: realistic targets set before kickoff, full transparency on what's working and what isn't, and the right to walk away with 30 days notice if we're not delivering.
What happens if performance is below expectations?
Honest review call. We look at the root cause. Is it execution, market shifts, product-market fit, tracking, or unrealistic targets? Then we agree a concrete plan: change tactics, adjust scope, or part ways cleanly. We never paper over bad performance with vanity metrics.
Do you offer refunds?
Retainer fees aren't refunded after work has been delivered. But if we've genuinely under-delivered on a specific deliverable, we'll redo it at no cost or credit it against the next month. Project-based work has milestone-based payments so you only pay for completed phases.
What's your dispute resolution process?
Step 1: direct conversation with your account lead. Step 2: escalation to the founder, on a call within 48 hours. Step 3: agreed remediation or clean exit. We've never needed step 4. But if it ever came to it, our contracts default to arbitration in the agreed jurisdiction.
Access & ownership
5 questionsWho owns the accounts, ad data, and creative?
You do. Always. We work inside your accounts (Google Ads, Meta Business Manager, GA4, Klaviyo, Shopify, etc.) with user-level access. Never owner. Creative, copy, audience builds, documentation, and dashboards are all yours.
What access do you need from me?
Common asks: GA4 + GTM + Search Console (admin), Meta Business Manager (admin/employee), Google Ads (admin), Shopify or WordPress (staff/editor), Klaviyo or your email tool (admin), and any CRM. We share an exact access checklist after the discovery call with role-level recommendations.
Do I get full access to my dashboards and data?
Yes. Full view access to every dashboard, every report, every campaign, every email flow, every line of code we write. No "agency-only" hidden reports. Your team can audit everything we do at any time.
Can I take everything with me if we part ways?
Yes. Because everything is already in your accounts and your ownership. On offboarding we hand over: process docs, strategy briefs, creative source files, ad account learnings, GA4 audience exports, and any custom integrations. You leave with more than you arrived with.
How does handover work at the end of an engagement?
Final 30 days are dedicated handover time. Deliverables: written exit doc (current state, what's live, what to watch), source-file transfer, account access cleanup, optional handover call with the next team/agency, and 30 days of email-only support post-exit at no extra cost.
Data, security & legal
6 questionsHow do you protect my data and credentials?
Credentials are never shared in plain text. We use 1Password / Bitwarden vaults with role-based access. Where possible we use OAuth-based access (Google, Meta, Shopify, Klaviyo) instead of passwords. 2FA enforced on every team member. Departing team members are deprovisioned same-day.
Will you sign an NDA?
Yes. Send your NDA template and we'll sign before the first deep-dive call. We can also sign a mutual NDA. Useful when we're sharing playbooks and case patterns from other engagements.
Are you GDPR / CCPA compliant?
Yes for our own operations. For your campaigns we set up consent-mode v2, cookie banners (Cookiebot / OneTrust / Iubenda), DPIA support, and data-retention policies matched to your jurisdiction. We're not a law firm. For legally-binding advice we'd refer you to one.
Can you sign a Data Processing Agreement (DPA)?
Yes. We have a standard DPA we can use, or we'll sign yours. Covers data categories handled, sub-processors used, security measures, breach-notification windows, and termination clauses.
Do you sell or share my data?
No. Never. Your customer data, ad data, strategy docs, and creative are not shared with anyone outside your account team. Not used for our "case studies" without explicit written consent, not used to train AI models, not aggregated with other clients' data.
Who owns the intellectual property of the work created?
You own all deliverables on full payment of the relevant invoice. Copy, creative, code, strategy docs, audience builds. We retain rights to general methodologies, frameworks, and the right to anonymously reference the engagement in case studies (with your consent).
Industries & markets
5 questionsWhich industries do you work with?
Ecommerce (DTC and B2B), SaaS, healthcare clinics, education and edtech, real estate, professional services (legal, accounting, consulting), home services, hospitality, fintech, and B2B services. We adapt the playbook, not invent a new method for every vertical.
Do you work with regulated industries (healthcare, finance, legal)?
Yes. With extra care. Healthcare: HIPAA-aware tracking, no PHI in ad accounts, compliant landing-page copy. Finance: FCA/SEBI/SEC-aware messaging, no implied returns. Legal: bar-association advertising rules respected. We loop in your compliance officer on copy where needed.
Which countries and markets do you serve?
US, UK, EU, UAE / GCC, India, Australia, and APAC. Multi-market campaigns are common. Most clients run at least two regions. We don't currently focus on LATAM or Africa as primary markets.
What languages can you work in?
English (US, UK, AU variants), Hindi, Arabic, Spanish, French, German. Directly. Other languages via AI-assisted translation with native-speaker review (Italian, Portuguese, Japanese, Mandarin, etc.).
Can you work with B2B as well as B2C / DTC?
Yes. B2B / SaaS: long-cycle nurture, ABM, LinkedIn + intent, cold email, demand-gen content. B2C / DTC: lifecycle email, paid social, creative testing, CRO. Hybrid (e.g. PLG SaaS with self-serve + sales-assisted): both playbooks.
Switching, in-house & fit
5 questionsI'm currently with another agency. How do I switch?
Send us your current contract notice period, current account access (we run a parallel audit without disrupting them), and any active campaign documentation. We run audit and planning during their notice period. Then take over execution from day one of the new month. Zero gap.
We have an in-house marketing team. Can you complement it?
Yes. And it's one of our most common setups. We slot in as a specialist layer (SEO-only, paid-only, creative-only, or technical-only) on top of an in-house generalist or marketing director. Working models include weekly stand-ups, async docs, and shared Slack.
Are we too small or too big for you?
Fit is decided by scope and budget alignment, not company size. We work with both early-stage founders running their first paid campaign and established brands rebuilding a growth stack. We've also turned down work at every size when fit wasn't right. That filter goes both ways.
What's your ideal client profile?
A founder or marketing leader with: a product people actually want, willingness to be honest about what's working and what isn't, decision-making speed (a week of "let me think about it" on every creative call kills momentum), and a 6-month minimum horizon before judging compound channels like SEO and lifecycle.
I'm a solo founder. Is this the right fit?
If your product is validated and you have the budget for a serious growth investment. Yes. We've shipped great work for solo founders. If you're pre-product-market-fit and looking for "marketing to fix sales". Honestly, no. Better to keep money in the runway and figure out demand first.
